Visit Log and Exporting

Is there a way to enter a visit that occurred in the past into the Visit Log?

To maintain its integrity, the Visit Log cannot be edited, so the best way to enter a past visit is to add a new visit and then add a Visit Note to that visit with the details of the original visit.

I'm having issues creating an export for a specific time period.

Here are the steps to create a single export for a specific time period:

Start by selecting Visitor Log at the top left of your account navigation. Using the filters at the top, select the date range you're looking for. Once you select your date range, click "Apply:

Once you have clicked Apply, then click the blue "Filter" button at the top of the Visit Log.

Finally, click "Actions", hover over "Exports", then choose if you'd like a CSV or PDF export.

You can confirm that your export includes the correct dates by double-checking the date range in the Export pop-up:

If your export takes more than ten minutes, you've likely attempted to export too many returns. Re-filter your visit log (try limiting it to a single month to start) and try the export again.

Can I set exports to be delivered at the end of each quarter?

You can set automatic Exports to be delivered daily, weekly, or monthly, or you can do a one-time manual export immediately. If you need quarterly exports, we recommend a one-time manual export every 3 months.

Visitor Fields

Is there an autocomplete feature so Returning Visitors don't need to enter their entire email address when checking-in on subsequent visits?

While the iPad App doesn't have an autocomplete feature (a dropdown menu of other visitors' email addresses could pose a security risk), if a visitor is checking in with Contactless Check-In on their mobile device or a computer, their browser settings will apply to the check-in process. If they have autocomplete turned on in their browser, it will appear in the check-in process with only their information. This will work whether returning visitors is turned on or off!

How can I create a conditional logic / logic tree / if X, then Y visitor workflow with The Receptionist for iPad?

You can replicate a conditional logic workflow by creating a new Button for each logic branch. Your plan includes up to 6 Buttons, which means you can have up to 6 logic workflows.

Departments

When my visitors check in, they see the departments of my Contacts rather than just a list of their names. How can I make it so that they just see a list of Contacts?

When you use Departments to group Contacts, visitors to the iPad will not be shown a list of all Contacts. Instead, they will be shown a list of Departments that they can select. Once they've picked the Department, they'll be shown a list of Contacts in that group—and only those Contacts.

To remove the Contact's department, edit the Contact and select the blank space from the dropdown. Remember to save! If no Contacts are attached to a Department, that Department will disappear from the list.

If you add departments to some but not all Contacts, any Contacts without an assigned department will not appear on your contact list on the iPad. For this reason, we advise that either all Contacts or no Contacts have departments. That said, this can be a great way to create "hidden" Contacts; you may not want your company's CEO to appear on check-in lists, but they can still be reached by searching their name.

Languages

Can The Receptionist for iPad translate into multiple languages?

Yes! First, navigate to the Company page. There, you will see the option to add additional language options. The languages we currently support are:

  • English

  • Spanish

  • French

  • German

  • Dutch

  • Vietnamese

  • Chinese (Simplified)

  • Italian

  • Hungarian

  • Japanese

On this screen, you can toggle on any additional languages you want to add:

If you have multiple locations, you'll want to navigate to your Locations page, edit the relevant locations, and ensure that the new language is turned on for that location.

Once you have activated the languages you want to display, you will need to manually translate and configure any editable text fields for the alternate languages for your Home Screen, Buttons, and Agreements.

A button will now appear on your welcome screen, allowing your visitors to select between the languages you have chosen, as seen below.

Can visitor notifications (email, SMS, Teams, etc.) be translated?

At the moment, all visitor notifications are sent in English, but any variable fields that are included in the notification (name, company name, iPad name) will appear in the language they were entered into the system.

Printers

I'm finding that I need to reset my iPad and printer daily in order to keep my Bluetooth connection working. Why is that?

Many customers experience disruptions when using Bluetooth connections that require regular manual re-pairing, so we strongly recommend a Wi-Fi connection. Additionally, we have significantly less insight into Bluetooth connections, so our troubleshooting capabilities are limited if you run into Bluetooth errors. If you are able to use a Wi-Fi connection, you can use this article to get set up. The photos on my badges are fuzzy. How can I make the photo clearer?

Thermal printers work by printing small black/red dots to make an image; Brother Printers have a DPI (dots per inch) of 300. This means that the quality of a photo image from a thermal printer will never be able to replicate that of an inkjet or laser printer. However, if you're struggling with the contrast of a photo with the DK-2251 badges, we recommend trying the DK-2205 labels. Since they can’t print in red, the photo appears a bit crisper.

iPad Settings

My visitors are pressing the home screen button and exiting out of The Receptionist app. How can I lock the iPad on the app?

Guided Access is an Apple feature that uses a passcode, Touch ID, or Face ID to lock your iPad into a single app, ensuring visitors can't close The Receptionist app or accidentally access any account settings.

How do I know if my app is up to date?

To check if you have any pending updates,

  • Open the App Store app

  • Tap your profile icon: (usually in the top right corner)

  • Scroll down to see pending updates

  • Tap "Update" next to The Receptionist
