Notifications

Can I send Broadcast Notifications to foreign numbers?

Visitors or Contacts may not be able to receive Broadcast Notifications or Visitor Notifications that originate from foreign numbers. Whether the message is received is dependent on the recipient's provider.

Visit Log

Is there a way to remove certain buttons from populating the Visit Log? e.g., Delivery notifications?

You can filter the Visit Log for buttons at the top of the Visit Log.

Can I set my own auto-checkout time?

At the moment, auto-checkout can only occur at 11:59 PM local time. If you'd like to turn auto-checkout off, please contact our Support team.

Is there a way to access the Evacuation List from the iPad?

Yes! To access the Evacuation List from your iPad, start on your app's home screen (this is the page that usually says "tap here to check in!" or something similar). Press and hold the top middle of that screen for a few seconds, then select Evacuation List from the list of buttons.

From there, you can view every visitor who is currently checked in. As you confirm each visitor's safety, you can 'check' them in again. (This does not update your actual visitor log; it is meant as a visual aid during emergency procedures so that you can account for each visitor physically.)

Your Evacuation List is also available from your computer or smartphone - anywhere you can log in to your account via your Web Portal. Use the Evacuation List filter to see any currently checked-in visitors (or save this handy link).

Users with the Security, Account Owner, Location Owner, and Receptionist designations can view the Evacuation list on the Web Portal. All Users can view it via the iPad app itself.

Please note that visitors who forget to check in will not be displayed on this list, and visitors who fail to check out will be displayed erroneously.

Badge Printing

Why does my badge look different in the badge editor compared to the printed badge?

The badge editor mockup on the Web Portal is just that - a mockup. Your badge may not print exactly the same as you see it in the badge editor, especially when it comes to logo colors or photo images. If you're not happy with the layout of the badge, you can adjust the layout format and badge size from the badge editor as well:

We suggest doing a few test prints to make sure you like the way the badge looks before allowing visitors to print their own badges.

Visitor Fields

My visitors sometimes enter their information into the system incorrectly. Is there a way I can make sure they enter the correct information?

Clearly labeling your Visitor Fields and encouraging Visitors to take their time entering their information is the best way to ensure that Visitors enter the correct information. Only a human can verify that a visitor's information is indeed correct.

Is there a way to utilize "if, then" logic in my Button workflow?

The best way to replicate "if, then" (conditional) logic in your workflow is to create a separate Button for each condition.

For example, if you have three different types of Contractors that need to answer three different workflows, you could create a Button for each of those Contractors (and label them accordingly).

Another option is to include all the questions for all Contractors within one button and make Visitor Fields that aren't pertinent to the two other Contractors optional. You can make a Visitor Field optional by clicking on the lock button on the right side of the field until it has a black open lock:

If we have repeat visitors, do they have to type in all their information again, or is any of it stored?

If you have Returning Visitors turned on for the Button that they used, then their information is stored in our system, and their check-in can be expedited. This is true as long as one of their previous visits hasn't been incinerated. This information is tied to their email address.

Hardware

I am ready to replace my iPad with a newer model. How do I set up The Receptionist on a new iPad?

First, turn the new iPad on and follow the iPad setup instructions using your Apple ID and WiFi login. Once you complete setup, download The Receptionist from the App Store and log in using your Receptionist User credentials. You will need to reconfigure Guided Access if you were using it previously, but all other settings should transfer over when you log into The Receptionist app.
