Thank you for attending our April 2025 Office Hours! We have compiled the questions and answers from the session below. If you have any remaining questions, please feel free to reach out to our Support Team using the orange chat bubble at the bottom right of this page.
Check-In Features
Can you use the rear camera to scan the Contactless QR codes?
At this time, visitors can only use the front-facing camera to scan the Contactless QR Code and complete their check-in.
I have the Two-Way Chat enabled and want to use Quick Replies to save time. What types of notifications do Quick Replies work with?
If Contacts are notified via email, Slack or Teams, they can use Quick Replies, which are pre-written replies that the Contact can send straight from the notification message.
Contacts can select the Quick Reply they wish to send, and it will be automatically sent to the iPad for the visitor to view. SMS notifications do not have the option for Quick Replies.
Integrations
Does The Receptionist integrate with access control systems?
While The Receptionist does not natively integrate with access control systems, you can use Webhooks or Zapier to connect your system to The Receptionist.
Printers
I'm having trouble connecting my printer via WiFi due to a firewall. Can you explain how to clear the ports and URLs for troubleshooting?
The iPad will connect to the following secure cloud-based URLs using port 443:
https://*.thereceptionist.com
wss://ws.pusherapp.com
In addition, the iPad will need to be able to communicate to the internal IP address of the printer via UDP port 54925 (for discovery) and TCP port 9100 (for actually printing the badge).
Your IT team should be able to help ease restrictions on your existing network or set up a new WiFi access point for your iPad. To unblock ports, they may need access to your firewall settings, your Network settings, antivirus software, or your router - it all depends on how your network is configured.
Groups
Can you tell me more about the Groups Pre-Registration feature?
Groups is a great feature to use if you have large groups of visitors coming to your facility that you need to input to the system quickly or you need badges pre-printed for them quickly. For example, Groups can be used if you're giving tours of your business and want to upload your visitors to the system beforehand, or if you're hosting a group VIPs in a few hours and want to print their badges before they arrive. Groups function similarly to our Pre-Registration feature, and you'll need that feature turned on on at least one of your buttons to get started using it. Take a look at this Help Center article to learn how to use it!
βPlease note that when using this feature, visitors will not interact with the iPad, and you will be unable to collect additional check-in information from them. If you still want to pre-print badges but would also like visitors to check themselves in, sign Agreements, or answer additional Visitor Fields, check out our Pre-Registration feature.
If Groups is turned on, can my visitors still use Contactless Check In or the iPad?
Yes, you can have Groups enabled and visitors can still use Contactless Check In or check in via the iPad. However, if you add a visitor to a Group, they cannot connect their information from that Group entry to a Contactless check-in or a check-in on the iPad. These check-in processes are independent.
We also don't suggest using Pre-Registration and Contactless Check In at the same time if you are sending the Pre-Registration email to visitors, as both of these features use different QR codes, which can be confusing to visitors.
Coming Soon
Keep an eye out for our newest feature, Multi-Location Users, coming soon! This will allow you to assign users to multiple locations without having to assign them to all locations. We'll be updating our Users article soon with more details!
