Support

When we get the invite to Office Hours, can we share it internally with other Users?

Yes! Anyone who is a current User in our system should receive an invite, but if for some reason they did not, they can use this link to subscribe to our emails.

Does The Receptionist offer support beyond Office Hours?

Contactless Check-In

How do I send a check-in QR code to an expected visitor?

Check-In QR codes are a part of our Contactless Check-In process. Please follow the instructions in this article to learn how to turn on and use Contactless Check-In.

How would Contactless Check-In work for a multi-tenant (multi-company) building?

The process of using Contactless Check-In would be the same for both a multi-tenant building and a single-tenant building. If you'd like to organize your Contacts by their company name for clarity in Contact selection, you can use Departments to group contacts. Set the department name as the company name, and then each company will appear as its own folder on the Contact Selection Page.

Can I pre-print a badge for a visitor who uses Contactless Check-In without checking them in?

Contactless Check-In does not allow pre-printing badges as Queued Visitor's badges will print when their check-in is complete. However, our Pre-Registration and Group Pre-Registration features both allow pre-printing badges.

Button Settings

We would like to capture first AND last names when visitors check in. How do we ensure that visitors enter both?

There are 3 available Name fields: Full Name, First Name, and Last Name. If you want to ensure your visitors enter both first AND last names, you can use the First Name and Last Name fields and make both fields required by clicking the lock icon.

Is there a way that we could include a QR code or URL to an application/payment site/other website within the check in process? We want our visitors to visit this website/app before they complete their check-in.

The easiest way to have visitors access an outside website/app within the check-in process is to create a new Message Button and upload a QR code as the Custom Icon. You can use a QR code maker to create the link to your app/URL. It will look like this:

Make sure to clearly label this button and provide additional instructions within the Header and Body text field, including that visitors need to scan the icon for this button to proceed. If you have any questions about this setup, please reach out to our Support team!

Can Contacts talk to visitors who are waiting at the iPad like an intercom system?

While we don't have an intercom system within our software, you can use the Two-Way Chat feature to allow your visitor and Contact to send messages back and forth. If the visit notification is received via SMS, the Contact can simply respond to the message. If Contacts are notified via email, Slack, or Teams, they'll need to click a link within their notification if they want to type custom messages to their visitor. Quick Replies, on the other hand, are pre-written replies that the Contact can send straight from the notification message.

Badge Printing

Will The Receptionist notify me if there's a printer communication error or if the printer is out of labels?

A printer connection error message will appear on the iPad if there are any problems with the printer. If you're having any issues with your printer, please use our Printer Troubleshooting Bot to diagnose the issue.

Since we have the badge printer connected to the iPad, can we use it to print other information like Visit Logs or the Evacuation List?

No, the badge printer can only be used to print badges.

Visit Log

Is there an auto check-out function?

Yes, auto check-out is turned on by all customers by default. It will check out all visitors every day at 11:59 PM local time. If you have visitors or Contacts who need to stay checked in overnight, you can write to Support to request this feature be turned off.

If this feature is turned off, please make sure to have someone on your team check the Visit Log regularly to complete forgotten checkouts.

How can I access the Evacuation List for emergencies on a different device?

The Evacuation List can be accessed from the Visit Log on any device. The URL for this page is a static link and can even be bookmarked to the home screen of your mobile device!

When exporting the Visit Log, is it possible for the duration column to be calculated in hours?

Our export fields are standardized for all customers, but you can use a formula on your CSV export to convert minutes to hours.

Is there a way to see how many times a particular iPad has been used?

In the Visit Log, you can filter by device to see how many check-ins/outs were completed on a single device.

We have a video agreement that must be watched once a year by our visitors. The video does not play if the visitor uses Contactless Check-In. Will that be coming soon?

Yes! As of April 2024, we can confirm Video functionality for Contactless Check-In will be released soon.

Is there a way to get an email notification for visitors who have not checked out?

As of April 2024, not yet, but it is coming very soon! Keep an eye out for a new feature email πŸ‘€
